Security Operations Manager
Job Description
Role Overview
The Security Operations Manager is responsible for the comprehensive oversight of all security measures. This includes health & safety, manned guarding of physical assets, and management of security technology systems including CCTV, Access Control, and associated platforms.
The role supports the Senior Management Team on all security matters, requiring a proactive and positive approach to building operations. The postholder must demonstrate excellent organisational skills, the ability to prioritise under pressure, strong time management, and meticulous attention to detail. The role demands someone who is self-motivated, proactive, and committed to sharing knowledge across the team.
Core Responsibilities
- Monitor and administer all aspects of the Control Centre technology systems including Access Control, CCTV, Intercoms, Lift Controls, and Fire Command Panel.
- Gain and maintain a thorough understanding of building layout and operations.
- Conduct appropriate CCTV patrols and monitoring.
- Run reports and view CCTV footage as required.
- Provide initial call handling for all security control centre calls.
- Ensure all critical alarms are actioned in a timely manner.
- Ensure full compliance with all site Policies and Procedures.
- Monitor access and egress of personnel and respond to breaches.
- Maintain permit to work procedures at all times.
- Supervise sub-contractors and cleaners in business-sensitive areas.
- Compile detailed, succinct, and timely written reports in accordance with post orders.
Operational Duties
Shift Management
- HAND-OVER — When taking over from another shift, communicate with the outgoing controller and/or DSM to be fully briefed on all events from their shift and any days you have been absent. At the end of every shift, prepare and send a written handover report to the Security Manager and Operations Manager.
- DAILY BRIEF — At the start of each shift, conduct a daily briefing with all team members covering their assigned positions and duties. The brief must include a presentation check: confirm all officers are wearing the correct, complete uniform and are presentable to the required standard before taking up their posts.
- DAILY CHECKS — Check all equipment at the start of each shift to ensure it is operational, including radios, cameras, access control systems, mobile and landline phones, lifts, Blackviews, and keys.
- ROTA’S — Inform officers of their rotation at the start of each shift. Ensure all officers are in position as scheduled and following the rota correctly, completing all relevant patrols.
- TIMEGATE — Check Timegate daily and fill any unscheduled gaps. Confirm all staff have accepted their duties. Schedule shifts ahead of time to prevent discrepancies in the service.
Logging & Reporting
- EDOL (ELECTRONIC DAILY OCCURRENCE LOG) — Add shift event entries in the EDOL including, but not limited to, when patrols are conducted and any significant events such as site visits and incidents.
- LOGBOOKS — Complete all checks folders and report any problems found. E-log any defects discovered onsite.
- CHASE UP FAULTS — Follow up on any reported faults with lifts, keys, cameras, or radios that are out of service, and provide updates.
- LATENESS REPORT — Complete daily when necessary. Send a monthly report to the Security Manager and highlight any concerns.
- ROOF & OCCUPIERS REPORTS — Ensure daily total visitors, 14 Stories, and occupier footfall are logged on the Excel spreadsheet and filed in the roof report folder.
- DAILY FOOTFALLS — Keep the site footfall spreadsheet updated including cyclists, motorcycles, and cars.
- ARM’S VISITS — Ensure the ARM’s visit report is filed on the shared drive in the correct folder and logged on the EDOB.
- ENGINEERS ISOLATION RECORD — Sign engineers’ records when they enter the control room to set isolations, and sign them off once removed.
People & HR
- PERSONAL FOLDERS — Maintain personnel folders, ensuring they are completed for new starters. Manage diary reminders for one, three, and six-month probation meetings.
- HOLIDAY REPORT — Track holiday entitlements via holiday documents and arrange cover for planned absences.
- ANNUAL ROTA — Maintain the annual rota at least three months in advance.
- HOLIDAY REQUESTS — Keep holiday request records updated at all times, including paper requests signed by the DSM and placed in the holiday folder.
- SITE BITES & SECURITY BRIEFINGS — Deliver briefings and ensure all employees have understood them.
- LICENCES — Maintain copies of all SIA licences on the controller computer. Ensure no licences are expired.
- UNIFORM — All uniform requests must be approved by the Security Manager prior to ordering.
- STATIONERY — Ensure adequate stationery is available. Order through the Head of Security or building management as required.
Technology & Systems
- CCTV, ACCESS CONTROL & RETAIL NEXT — Maintain competency on all systems. Activate passes for contractors and visitors as required, record CCTV issues, and inform safety officers of high occupancy on the roof garden.
- EVERBRIDGE — Use as required and inform relevant personnel when faults are completed.
- CHARGING OF EQUIPMENT — Ensure all chargers are operational and all equipment is fully charged at all times.
- PASSWORDS LOG — Ensure the passwords log is kept up to date at all times.
The postholder must be familiar and fully competent with the following systems: Kinexio (visitor sign-in and EDOB), VMS, Gatekeepers, Elogbooks, Live Advanced C.O. Fire Alarm Software, MyFenCourt, and Everbridge.
Premises & Access
- KEYS — Ensure all keys are tagged out with the holder’s details and contact numbers. Confirm keys are returned and placed back in the key press.
- VISITS — Check the diary and notice board for VIP visits. Plan arrangements for relevant bookings and ensure all areas are prepared.
- VISITORS TO CONTROL — Only authorised persons may enter the control room. Record visitor details on the EDOB and ensure they sign in and out of the electronic sign-in sheet.
- SEEK & SEARCH — In an emergency, if you are the nearest available officer, you must be prepared to conduct a seek and search. Full knowledge of the building layout is required. You are also responsible for the controller set of keys.
- COMPLIANCE CHECKS — Complete compliance check reports as required. Store completed reports in the shared compliance folder on the shared drive, logging any issues found.
- CALL OUT ENGINEERS — Maintain awareness of who is on call at all times. Update the night team and contact engineers for out-of-hours emergencies.
- LOCKERS — Manage locker allocation and maintain responsibility for spare locker keys.
Communications & Control Room
- ROOF ANNOUNCEMENTS — Make PAVA roof closure announcements on the designated zone 15 minutes before closing, then 5 minutes before closing.
- PAVA ANNOUNCEMENTS — Ensure all building announcements are clear and rehearsed before broadcast. Announcements are only made for alarm testing and when directed by building management, including roof closure.
- INFORMATION IN CONTROL ROOM — Ensure all current and updated information is clearly displayed and kept tidy. This is a shared responsibility with the DSM.
- THE CONTROL ROOM — Maintain a clean, tidy, and professional control room at all times. All personnel must adhere to this standard.
- EMAILS — Check the control room email account daily and ensure all required actions are completed in a timely and efficient manner.
- WEEKLY VISIT BOARD — Update the weekly visit board for Gatekeepers and Roof Visits.
Lost & Confiscated Property
- LOST PROPERTY — Record all lost property found, including full details. Ensure items are stored securely.
- CONFISCATED ITEMS — Items confiscated by the roof team, including knives or sharps, are to be locked in the confiscated items box.
Weekly & Monthly Compliance Tasks
- WEEKLY COMPLIANCE CHECKS — Complete the following weekly: disable alarm test, fire extinguishers, fire telephone, first aid equipment, lifts, lift lobbies, staircases, and emergency passes.
- MONTHLY ROTA — Ensure the monthly rota load is complete, covering sickness, gaps, and shift cover.
